Event Operations Manager

Reports To

Will report to the General Manager

Job Overview

This is a hybrid job combining Customer Sales and Service as well as onsite management, customer interaction and event setup. Responsibilities include, but are not limited to, recommending solutions to the customer, quoting, selling, and following up on order for our equipment and services based on their needs. This is a great job for an ambitious professional who has an interest in Corporate Events and can build relationships as well as provide outstanding customer service. This position has about a 25% office component and a 75% physical component where you are onsite interacting with the client, team management, as well as setting up for the event.

Office Responsibilities and Duties

  • Process rental quotations, reservations and contracts
  • Establish new rental and sales accounts by serving clients
  • Strong knowledge of Microsoft 365 and willing to learn CRM Software
  • Communicate effectively with warehouse staff regarding orders, delivery, and event setup needs
  • High degree of Attention to Detail
  • Logistics planning

On Site Responsibilities and Duties

  • On Site Team Leader
  • Manage Setup team to make sure all events are set up according to company standards
  • Creative Problem-Solving Skills
  • Attention to details, working with the client to create exceptional event experience

Qualifications

  • Highschool Education or higher
  • 2-3 years customer service experience or Event Planning Experience
  • Positive attitude and readiness to adapt to a every changing environment
  • Excellent teamwork ability, interpersonal & communication skills
  • Exceptional relationship building & customer service skills
  • Class 5 drivers with clean drivers abstract and comfortable driving larger vehicles
  • Ability to lift up to 50-75lbs

Transport Position

Reports To

Job Overview

This is a part-time/casual position that could lead to full-time work as the company grows. The right candidate will bring their wealth of knowledge of basic mechanics, the love of ‘Tinkering’ on vehicles or other life skills they have to offer. Responsibilities are, but not limited to, help maintain the equipment by basic oil changes on the generators, moving the trucks & trailers around the yard, and preparing the trailers for rental. Duties will also include fixing & maintaining all trailers, maintaining MB Vehicle Safety Records, working with General Manager to book mechanical appointments, as well as working with production clients to present Flatlands in the best light possible.

Responsibilities and Duties

  • Preparing Star Trailers for rental
  • Delivery vehicles to Production Offices
  • Maintain 5-point Inspection Reports on all vehicles
  • Basic Maintenance of equipment i.e.: oil changes on generators, redoing interiors of the star trailers, bringing vehicles to mechanics,
  • Attention to details, working with the client to create exceptional event experience

 

Qualifications

  • Highschool Education or higher
  • Positive attitude and readiness to adapt to a every changing environment
  • Basic knowledge of Highway Traffic laws
  • Exceptional relationship building with clients & customer service skills
  • Class 1A drivers with clean drivers abstract
  • Comfortable driving larger vehicles and pulling & backing trailers
  • Ability to drive 5 speed standard truck
  • Basic Mechanic Knowledge i.e.: oil changes, troubleshooting client concerns

The event setup & teardown associate will report to the Operations Manager.

Job Overview

As the Events Associate at Flatland Equipment and Tent Rentals, you will be trained to be the teamlead, working alongside of the Operational Manager & Warehouse Supervisor, with the responsibilities of setting up & tearing down of tents, tables, chairs, and other items as needed as part of a team. Packing company vehicles as part of the orders received from the customer service representative. We will provide training.

Administrative Assistant/Office Coordinator 

Reports To  
The Administrative Assistant/Office Coordinator will report to the General Manager and work closely with the Event Team Lead as well as the Warehouse Manager.

Job Overview  
For success in this position, you’ll need strong attention to detail, excellent customer service & communication skills.

Responsibilities and Duties 

  • Incoming calls – Receive and direct to the appropriate location. Receive, and document messages and direct them to the appropriate location. Assist in the requested information for the office.
  • Use Microsoft Teams as your main source of communication inside the company.
  • Work with the Marketing team & General Manager to provide quotes for events, weddings, and production clients.
  • Outgoing calls – Follow up calls with clients, schedule event setups & takedowns, and schedule meetings for General Manager with production personnel.
  • Coordinate calendars and communication for event setups and tear downs.
  • Database Organization and Research – Assist in organizing and updating internal databases/company CRMs.
  • Assist in inventory management tasks as needed.
  • Able to work independently and able to meet deadlines.
  • Other duties as assigned.

  • Good customer service abilities.  Must be able to communicate with clients in a respectful manner and make the client always feel welcome

Event Staff
Setup/takedown of tents, tables, chairs, dance floors, and other equipment for events

Reports To
The Event staff will report to General Manager and/or Event Manager.

Job Overview
The Event staff is a team of people that will work together to set up and takedown event
equipment while working with clients to create a beautiful space for their event. The Event staff
will keep the storage space clean and safe for working conditions. Success in this position requires strong attention to detail, excellent customer service & communication skills.

Responsibilities and Duties

  • Tent Maintenance
  • Steam Cleaning Tent Canopies & Sides
  • Loading & unloading tent equipment according to Order Forms
  • Cleaning work area (i.e., sweeping, disposing of garbage)
  • Other duties as the come up

Qualifications

  • High school or post-secondary
  • Strong attention to detail
  • Willingness to work as a team
  • Fluent in speaking & reading English
  • Valid Driver’s License
  •  Able to lift 75lbs consecutively
  • Available on weekends

Event Team Lead Position

Reports To
The Event Crew Manager will report to General Manager and/or Warehouse Manager.

Job Overview
The Event Team Lead will work with and guide the setup team to complete all event setups and
takedowns of tents, tables, chairs, dancefloor, and other items as well as load and unload
equipment. They will work with clients to fulfill orders and communicate with both the clients
and the office for any changes of the order.
They will help keep the warehouse space clean and safe for working conditions. They will work
with the office staff to help with the logistical planning of events.
Success in this position needs strong attention to detail, excellent customer service &
communication skills, and the ability to think fast on your feet.

Responsibilities and Duties

  • Update and use Inventory Management Software
  • Maintain an excellent level of cleaning for all equipment/tents
  • Supervise the loading and unloading of event equipment
  • Meet regularly with General Manager & Office Coordinator

Qualifications

  • High school or post-secondary
  • 2 yr. event/tent experience
  • Strong attention to detail in paperwork
  • Strong communication skills
